SalesDrive for online stores: an order’s journey from enquiry to dispatch
Plan store workflows in SalesDrive: incoming orders, products, statuses, delivery, payments and testing returns.
Build a clear Pipedrive pipeline with deal stages, next actions, loss reasons and rules for checking sales data.
A sales pipeline shows how a deal moves towards an outcome. Pipedrive helps organise that movement by linking deals with contacts, conversations and activities. Columns on a screen are not yet a process, however. If managers interpret stages differently, the tidy display says little about the real state of negotiations.
New, in progress and hot labels need explanation. Instead of subjective temperature, agree on an observable fact: needs clarified, proposal sent or terms agreed. Define a minimum outcome for moving between stages. This helps the team assess deals consistently and find where negotiations stall.
Do not create a column for every phone call. A stage describes the sale’s state; a call or meeting is an activity that may change it. This distinction keeps the pipeline readable without hiding the manager’s daily tasks.
A deal may look promising yet remain idle if no next step is defined. Agree who owns the activity, when it should happen and how the outcome is recorded. After sending a proposal, the next step might be an agreed follow-up rather than automatically treating the sale as successful.
Pipedrive’s official help describes the deal view as a place for related activities, emails, files and notes. The team still needs to agree what those records should contain. A short agreement summary is often more useful than a long unlabelled contact history.
A manager sends a quotation and receives no reply. The deal stays at the appropriate stage but has an agreed next activity. The customer may then request clarification, postpone the decision or decline. Each outcome needs a different record: a new task, waiting until a date or closure with a reason.
Moving every silent deal towards the final column overstates actual progress. To assess a pipeline, choose several records and ask a manager to explain each one using the stored information. If that is impossible, clarify the data-entry rules.
For Pipedrive implementation at ALL IT Agency, we prepare stage definitions, required data and next-activity rules. We separately assess whether sales areas need different pipelines. Separation is justified when processes truly differ, not merely because managers serve different customers.
The value of open deals is not cash received. It describes current opportunities under the chosen rules. Revenue, payments and documents may require separate integration and reconciliation. Before launch, agree metric definitions and check them using test records, including losses and repeat deals for the same customer.
