ERP explained: connecting purchasing, production and sales

ERP in a shared workflow: demand, material needs, purchasing, fulfilment, accounting and data ownership.

ERP connects company resources and operations so decisions in one department are visible to others. Customer orders may affect materials, purchasing, production planning and finance. An agreed process determines usefulness rather than the number of modules in a menu.

Build the chain from demand to outcome

Describe demand sources, approval and the document triggering the next action. Sales should not promise dates without material and capacity information. Agree decision points and the information each owner needs.

For example, an order may need an unavailable component. ERP should expose the requirement and agreed provisioning path rather than only a red stock figure. Business rules and controls determine whether a purchase is created automatically.

Shared data needs shared meaning

Products, units, counterparties and contracts need agreed identifiers. Manufacturing also needs relevant specifications and versions. When departments use different names or standards, the system should not silently guess mappings.

Assign reference-data owners and change procedures. Correcting a unit may affect open documents and reports and needs impact checks. Reconcile opening balances and unfinished operations at an agreed date.

Separate standard capabilities from custom development

Compare standard configuration, modules and custom services. Not every unusual action needs a new ERP core. Isolate custom parts through clear contracts so updates or component replacement do not require rebuilding everything.

For external CRM, warehouse or production equipment, define events, statuses and ownership. Repeated notifications must not create a second document. Failed exchange needs visible status and an owner, especially when workshop actions depend on it.

A pilot validates end-to-end operation

Run a representative order through provisioning, fulfilment and reporting. Under each role, test permissions and exceptions such as shortages, partial fulfilment and returns. Owners should understand the outcome and reconcile it with agreed data.

Hand over rules, training and support. Add further areas according to dependencies and pilot findings. Assess effects through observable process evidence rather than automatically promising savings from installing ERP.

Key takeaways

  • ERP connects departmental decisions through agreed data and documents.
  • A pilot should complete the process and its exceptions.

Frequently asked questions

Shared data and agreed operation transitions matter. Placing several modules together does not establish that integration.

First assess standard capabilities, configuration and extensions. Justify custom components through specific requirements.
