IT-Enterprise: preparing a business for ERP implementation

Preparing for ERP: process owners, production data, module boundaries, a pilot and end-to-end order validation.

ERP connects departmental operations: purchasing decisions affect inventory, production and finance. IT-Enterprise offers enterprise management solutions, but results depend on prepared processes and data. Treat implementation as a change in shared working practices rather than the purchase of a collection of screens.

Choose a process with an observable problem

First identify where control is lost: purchase approvals, material availability, order fulfilment or explaining costs. Describe the current document flow and manual transfers. Someone must be able to approve rules for the entire process, rather than a single department.

Give the pilot a concrete goal. For example, the owner can see an approved order’s status and the reason for delay without assembling separate spreadsheets. This can be tested through a working scenario; a broad promise of digital transformation supplies no acceptance criterion.

Prepare reference and operational data

Manufacturing depends on products, units, bills of materials, routes and resources. If the workshop follows a different specification version, system planning will not reflect reality. Check sources, owners and change approval before bulk import.

Separately describe stock, work in progress and open orders. Conflicting data needs a management decision rather than a hidden script adjustment. Retain source files and mapping tables so every imported figure has an explainable origin.

Define module and external system boundaries

Replacing every tool simultaneously is not mandatory. Decide what remains in CRM, accounting, equipment or an external portal and agree the exchange. Every document needs an owner; each status change needs a clear rule and an available responsible person.

Separate permissions for creation, approval and reference data changes. Test integrations against duplicate notifications, outages and late updates. Having an API does not establish that two systems share reservation or stock deduction rules.

Run an end-to-end scenario before expansion

In the pilot, run the agreed chain from demand to outcome: ordering, provisioning, fulfilment and reporting. Operators use their own roles. Record deviations, causes and decisions rather than merely noting that functions were demonstrated.

After acceptance, hand over administration, support and update procedures. Add the next area using the pilot’s findings. This makes change and training manageable instead of hiding unprepared processes behind a single company-wide launch date.

Key takeaways

  • ERP requires end-to-end process owners and validated data.
  • A pilot validates an operating sequence as well as module availability.

Frequently asked questions

No. Pilot boundaries depend on process dependencies and reliable integration with tools that remain.

Both are needed, but better servers will not fix incorrect specifications or reference data. Assess infrastructure readiness and data readiness separately.
