SAP integrations: preparing data, access and exchange rules

Preparing SAP integration: system versions, available APIs, reference data, ownership, retries, reconciliation and ongoing support.

SAP integration connects business processes and data to other systems through agreed interfaces. The SAP name alone is insufficient for estimation: products, versions and configurations differ. Start with the exchanged object and the result its owner needs.

Identify the environment and available interface

Identify product, version, hosting, test environment and SAP-side owners. Check actual APIs, formats and permissions. A catalogue entry does not establish that an interface is active or licensed for a particular customer.

SAP Integration Suite can be an integration option but is not automatically required for every task. Choose architecture around the existing environment, support and constraints. Transfer secrets and service accounts through an agreed secure channel.

Agree ownership and data mapping

Consider transferring a portal order into an accounting system. Map customer, product, unit, currency, warehouse and status. Define where reference data changes and which system owns each value.

Validate identifiers and rounding on samples with owners. Incomplete reference data must not silently create incorrect documents. Mapping failures need a clear status, cause and correction procedure rather than manual searches across all logs.

Plan retries and reconciliation

A timeout does not establish whether a document was created. Agree external identifiers, duplicate prevention and result lookup. Repeated message delivery should behave predictably.

Describe corrections, cancellations and ordering of dependent events. Reconciliation compares required counts, totals and states over a defined period. Technical request success alone does not establish the correct business result.

Make the exchange maintainable

In a test environment, cover normal operation, outages, missing references and retries. Staff need visible status and an agreed next action. Logs should not unnecessarily expose confidential fields or credentials.

Documentation includes field mappings, access rules, sample messages and recovery procedures. ALL IT Agency defines integration scope after assessment; this article does not claim implementations of every SAP product. Interface changes require renewed validation.
