Internal document workflows organise creation and approval inside a company. Shared folders are insufficient when the current version, owner and decision status matter. Custom systems should address specific processes difficult to support with existing tools.

Define types and lifecycle

Contracts, requests, orders and technical descriptions may need different fields and participants. Agree creation, review, decision, completion and retention. Avoid treating every document as an arbitrary file with an unclear status.

For example, a manager returns a draft for correction. The author needs comments and a new version while retaining history. Naming a file final does not provide that control.

Approvals should refer to a specific version

Record the content each participant reviewed. After edits, determine whether reapproval is needed. Do not show an old decision as approval of new text merely because the record number is unchanged.

Routes account for roles, unavailable owners and exceptions. Reassignment should be visible. Important decisions need system confirmation rather than a message disconnected from the version.

Test search and permissions together

Define viewing, editing, approval and export rights. Restrictions also apply to search, previews and integration. Users should not see sensitive excerpts from inaccessible documents.

Agree metadata, relationships and ownership. Relevant specialists determine retention and legal requirements. The system implements these rules with backups and required package retrieval.

Integration and acceptance complete the workflow

For external signatures, link the approved version to the service and status. Sending for signature differs from completed signing. Define retries, rejection and correction workflows.

Pilot a document from creation to retrieval of the completed record. Test permissions, history, returns and restoration. Hand over data models and maintenance rules so route changes preserve understandable history.
