IT for a new office: what to plan before your team moves

What to plan before renovation and relocation: internet, cabling, Wi-Fi, workstations, power, access and office readiness checks.

A new office becomes operational when the team can perform its tasks, rather than when furniture arrives. Internet, networking, power and service access depend on the floor plan. Some decisions must precede renovation to avoid running cables across finished interiors.

Gather work scenarios and the floor plan

Establish the number of workstations, meeting rooms, printers, phones, cameras and other devices. Use a plan showing actual walls, materials and equipment positions. Computers, access points and cameras may require different outlet locations and power arrangements.

Agree which services are local and which are remote. Check accounting or telephony access from the new location and dependencies on the public address. Moving a desk does not automatically transfer permissions in a bank, VPN or partner system.

Prepare internet, cabling and power

Agree provider lead times and the entry point. If backup connectivity is required, assess independence and test actual failover. Two contracts do not guarantee redundancy when both connections share one physical route.

Plan cable routes, racks, patch panels and labels before renovation ends. Coordinate electrical supply and work with qualified specialists. Define the required backup power duration for network equipment and verify the load rather than merely noting a UPS exists.

Design Wi-Fi and access

Access point count depends on materials, placement and load. For example, a strong signal outside a meeting room does not prove a stable video call inside after a partition is installed. Perform an on-site survey and test typical devices.

Separate guests from working systems. Employee, administrator and equipment permissions must match their tasks. Agree device updates and management so the move does not leave a network governed by random installers’ passwords.

Accept the office through working tasks

Before the move, test internet, failover, printing, calls, VPN and required applications. Test at a workstation under a normal user account. Separately check meeting rooms and areas with many simultaneous users.

Hand over the network diagram, labels, access list and support contacts. Assign someone to handle issues on the first working day. After relocation, record actual changes and remove unnecessary access associated with the old office.

Key takeaways

  • Plan networking and power before renovation finishes.
  • Acceptance tests actual work at real workstations.

Frequently asked questions

It depends on tasks and devices. Fixed equipment, access points and critical workstations may need wired connectivity.

During floor planning and renovation design, while routes, racks, provider entry points and equipment locations can still be agreed.
