IT-Enterprise: preparing a business for ERP implementation
Preparing for ERP: process owners, production data, module boundaries, a pilot and end-to-end order validation.
Preparing A5 ERP for an organisation: selecting subsystems, aligning reference data, defining access and validating a pilot.
A5 ERP supports planning, accounting and resource management. Its official catalogue includes accounting, personnel, inventory, procurement and other subsystems. Implementation requires selecting the appropriate scope and mapping it to actual organisational processes. A feature list alone does not explain who will work with the data or when.
Start with areas that have owners and understood documents. Describe input data, employee decisions and the output used by another department. If inventory and procurement depend on shared reference data, preparing it becomes a shared task rather than an installation afterthought.
Confirm which subsystems and integrations are available in the proposed package. A capability appearing in the overall catalogue does not mean it is included in the project. Record scope, licensing, customisation and support separately.
Check organisational structure, counterparties, contracts, products and other required reference data. Define the authoritative source and stable mapping identifier for each record. Similar names are insufficient, particularly when one legal entity has several departments or contracts.
For example, renaming a department should not create an unrelated document history. Decide beforehand how to represent the change and who approves it. Test imports on a copy and record rejected and corrected entries.
Create an access matrix covering viewing, creation, approval and administration. Staff receive the capabilities needed for their tasks. For personnel and financial data, verify search, exports and integration access as well as menus.
Test approvals under real roles. Check an unavailable approver, return for correction and changes after approval. These routine situations need a defined procedure rather than an administrator’s intervention every time.
Test the complete document path and the report used by its owner against an agreed scenario. Reconcile migrated balances and linked records. For integrations, test duplicate events and recovery after an external outage.
After acceptance, hand over configuration, roles, customisations and support procedures. Train staff using organisational examples. Changes after launch require approval and testing on a copy so a new feature does not disrupt an accepted process.
