Pipedrive: building a sales pipeline and keeping track of next actions
Build a clear Pipedrive pipeline with deal stages, next actions, loss reasons and rules for checking sales data.
Adapt Zoho CRM to company workflows through data structure, roles, triggers, automation conditions and outcome checks.
Zoho CRM can be configured for different sales and customer workflows. The main challenge is not the number of settings but preventing rules from conflicting. If changing a field triggers several automations, the team should understand which creates a task, updates a record or calls an external service.
Describe the objects the company needs: leads, contacts, organisations, deals and other working records. Give each field a purpose and a source. If data drives reports or automation conditions, a free-text field may be unsuitable because different employees may describe the same thing differently.
Roles should reflect actual work, not just job titles. Agree who sees records, changes ownership and manages automation. Test using representative users: a successful administrator workflow does not prove that the process works for a sales manager.
Zoho documentation describes Workflow Rules through triggers, criteria and actions. A record may change, meet an agreed condition and then create a task. Requirements should explain every part. Automatically remind customers does not define when a reminder is appropriate, who receives it or what stops repetition.
| Rule component | Example question |
|---|---|
| Trigger | Which specific event begins the check? |
| Evaluation condition | Which records should the rule affect? |
| Action | What should change, and how can it be checked? |
| Exception | When should the automation not run? |
After a customer’s need is confirmed, the record moves to the person preparing a proposal. Automation may create a task and populate agreed fields. But what happens if the record is saved again without a meaningful change or returned to an earlier stage? Define those cases to avoid extra tasks and lost ownership.
Check rule interactions as well. If one automation changes a field another uses, the result may differ from what the first rule’s author expected. Use test records, expected-outcome descriptions and access to the relevant execution history.
When preparing an ALL IT Agency project, we compile a rule register: event, condition, action, owner and verification method. Website, telephony and accounting links are documented separately. This preserves the workflow when a new administrator joins or a business condition changes.
After launch, automations should not accumulate without documentation. Record the reason, test and owner for each change. Features and limits depend on product configuration, so verify them before agreeing implementation. A system is manageable when the team can explain where a task or data change came from.
